Description:
Tenders are invited for Event Management Services in Turkmenistan • Conference/meeting room and related materials and resources - Meeting rooms packages including coffee break, lunch, dinner, car parking and cloakroom for different types of event capacities; - Meeting rooms setting up (stage construction, Conference, Auditorium, Banquet, Classroom, U-Shape styles and others) registration desk, head-table, flipcharts, podium, name plates of contributors/speakers etc. and cleaning before and after events; - Providing participants with bottles of water, pens, paper for notes; - Distribution to participants and contributors of visibility items provided by the Secretariat of the Council of Europe; - Production and installation in the room of visibility materials like flags and roll-up banners; - Printing of events-/activities- related materials such as agenda, badges, background reference and/or training/conference materials, etc. - Printing and producing layout of the Programme-s related publications in line with the Council of Europe publication guidelines; - Dealing with and following up registration of participants and contributors and/or providing attendance lists signed by participants by providing registration desk, host/hostess/supervisor; - Providing on-site technical and computer equipment (incl. laptop, projector, screening equipment, beamer, delegate/collar/handheld/rostrum microphones, flipchart, earphones, sound system, remote control, photo, video, video conference equipment, voice recording, switcher-splitter, online platform/connection links for hybrid/online events); - Providing technical equipment and support for interpreting services (Conferencing and interpretation system, booths, microphones, headphones, speakers etc.); - Providing on-site technical and computer assistance at the event by technicians; - Abiding by all health and safety regulations at the event site; - Providing professional photographer services; - Providing on-site printing facilities. • Accommodation - Accommodation for participants and contributors in standard class single rooms in the selected event places (breakfast and WI-FI included); - Ensuring security protocols agreed with the Council of Europe Secretariat are respected for every accommodation arrangement.
